HR Admin & Office Manager

Being part of the development of new nuclear power in Sweden is a unique opportunity – and a central part of the future sustainable energy supply.

Videberg Kraft is building a new nuclear power company from the ground up, where processes, systems, and ways of working are established in parallel with the project itself.

We are now looking for an HR Admin & Office Manager who enjoys hands-on work and wants to support a growing organization with day-to-day coordination and administration.

Your role

As an HR Admin & Office Manager, you will support the organization with a broad range of administrative and coordination tasks across people, systems, and office management.

You will take ownership of recurring operational activities connected to areas such as onboarding, IT, and internal administration, and act as a reliable point of contact for employees, managers, and external partners.

This is a hands-on, execution-focused role where you help keep daily operations running smoothly. You will thrive in this role if you enjoy working in an environment where not everything is fully established and priorities evolve quickly. You take initiative to build structure, improve ways of working, and make things happen.

Your focus areas

HR administration

  • Coordinate onboarding and offboarding, including user access, accounts, equipment, and documentation

  • Maintain and update employee data in our HR system

  • Provide first-line support to employees on HR-related administrative matters

  • Support recruitment administration, including posting job ads, managing applications, and coordinating interviews

  • Support administration of employment documentation, employee records, and time/absence reporting.

Administrative & operational support

  • Support day-to-day administration across the organization

  • Coordinate meetings, internal logistics and travel, including oversight of travel arrangements, agency coordination, and ensuring travel policy compliance

  • Maintain structure in documentation, templates, and ways of working and ensure documentation is accurate, up to date, and easily accessible

  • Support administrative tasks related to invoices.

Office management

  • Plan and coordinate internal activities and smaller events

  • Manage office purchases and supplier contacts, including materials, equipment, and refreshments

  • Ensure a well-functioning, representative, and inspiring office environment

  • Collaborate with landlords and external vendors for services such as cleaning, security, and IT.

We are looking for someone who

  • Has experience in administration, coordination, or similar hands-on roles

  • Has experience in HR administration and processes across the employee lifecycle

  • Is structured, detail-oriented, and pragmatic, with a strong ability to get things done

  • Thrives in a broad role with many contact points, where tasks are varied but sometimes repetitive

  • Has a strong service mindset, is proactive, and is able to identify and act on what needs to be done without close supervision

  • Can manage multiple tasks in parallel and prioritize effectively

  • Is motivated by creating structure and driving improvements in an environment where ways of working evolve as the organization grows

  • Is comfortable working with systems, tools, and basic IT coordination

  • Communicates fluently in both Swedish and English.
